Terms and Conditions

1. Eligibility and Supervision

Accounts, uploads, AI tools, content submissions, and other data-entry features are for people aged 18 or older. You must have authority to agree to these Terms and, if acting for an organization, permission to use Konvoo on its behalf.

Children may participate in games only under direct adult supervision. The supervising adult selects suitable activities, operates the account and data-entry controls, and oversees the child's use. Children must not create accounts, submit personal information, use the planner, or upload files. Adults are responsible for obtaining any permissions required for their sessions and following their workplace, school, and professional requirements.

2. Purpose of the Service

Konvoo provides activities and planning resources for speech-language pathologists, educators, caregivers, and other adults. Professionals may use Konvoo in paid clinical sessions, and families may use suitable activities at home.

Konvoo does not provide medical advice, diagnosis, treatment, or a clinician-patient relationship. You remain responsible for professional decisions, activity selection, supervision, and interpreting responses. Game scores, completion, and recorded usage time do not measure speech ability or clinical progress. No particular therapeutic or educational outcome is promised. Do not rely on Konvoo for emergency care.

3. Your Account

Provide accurate account information, keep your contact details current, and use only accounts you are authorized to access. Do not impersonate another person or let a child operate your account. Protect passwords, sign-in links, shared devices, and access to your Google account when using Google sign-in. Email verification is required for saved account features.

Contact us promptly if you suspect unauthorized access or misuse. You are responsible for your authorized use and reasonable account-security precautions; these Terms do not make you automatically responsible for every unauthorized act regardless of its cause.

4. Patient Information and Privacy

Never enter patient names or other identifying information, protected health information, or student education records anywhere in Konvoo. This includes custom words, usernames, group labels, board titles, topic names and questions, planner text and notes, file contents and names, generated-picture requests, gallery titles, and community posts, comments, or reports. Do not submit patient photographs, voice recordings, contact details, dates of birth, or medical or school identifiers.

Konvoo is not an electronic health record or patient-record repository. It is not represented as HIPAA compliant and does not offer a Business Associate Agreement. Use non-identifying examples and ensure you have authority to submit all material you use.

The Privacy Policy explains provider processing, storage, analytics, retention, and available rights. Acknowledging that policy does not waive privacy rights or provide consent to unrelated processing. If you accidentally enter identifying information, remove accessible copies and contact privacy@konvoospeech.com promptly. Konvoo does not screen every submission for identifiers.

5. Permitted Use and Ownership

Konvoo and its licensors retain their rights in the software, branding, artwork, audio, and other supplied materials. Subject to these Terms and any applicable third-party rights, Konvoo permits you to access activities for personal, classroom, and clinical use, including paid therapy sessions and screen sharing.

You may use supported download, print, and export features to prepare resources and share handouts with your clients, students, and their caregivers for related practice. This permission does not allow selling the resources as standalone products, redistributing the underlying asset library, or copying and repackaging Konvoo as another service. Do not remove ownership notices or imply that Konvoo endorses you.

Third-party books, videos, brands, and other materials remain subject to their owners' rights. Access to an activity or companion resource does not give you permission to reproduce an underlying book or video. Nothing here restricts uses that applicable law permits independently, or rights granted by a separate applicable license.

6. Your Content and Sharing

You retain any rights you hold in content you submit. You confirm that you have permission to submit it and to allow the uses you select. You grant Konvoo a non-exclusive, royalty-free permission to host, process, reproduce, adapt for supported formats, and display that content as needed to operate, secure, and provide the features you use. This permission includes necessary service-provider processing described in the Privacy Policy; it does not give us ownership of your content.

Private resources remain subject to the access controls described in the Privacy Policy. Sharing a word set gives selected collaborators editable access. An unlisted plan link can be opened by anyone who has it, and recipients may save independent copies. Check the content and sharing settings before sharing; an unlisted link is not a confidential delivery channel.

Request a Game posts and comments are publicly readable with your username. Publishing a gallery recipe makes its public details available to visitors and permits other verified adults to save and remix it through supported features. By publishing or sharing, you authorize those supported uses and grant recipients permission to use their copies for the session and handout purposes described above. Feedback and feature suggestions may inform improvements without a promise of payment, credit, or implementation; this does not transfer ownership of unrelated work.

Administrators can review generated pictures and word lists and approve them for use by all Konvoo players. By using those generation features, you permit that review and, if approved, shared use without your name. Approved resources can remain available without a link to your account after account deletion. Generated output may not carry exclusive intellectual-property rights.

Unpublishing, revoking a link, or deleting content stops the relevant new access through Konvoo, subject to the feature's documented behavior. It cannot recall copies already saved or downloaded by others. Independently saved plan copies and gallery remixes can remain. The service permission otherwise ends when the content is deleted from our systems, except for these authorized copies, approved shared resources, and retention required or permitted as described in the Privacy Policy. Local attachments remain on your device and are not uploaded through the planner.

7. AI Tools

AI-generated plans, suggested words, and pictures may contain factual mistakes, unsuitable material, biased representations, or incorrect timing and language examples. Review and edit output before showing it to a child or relying on it in a session. AI suggestions do not replace professional assessment or judgment.

Outputs may be similar to material generated for others. We do not guarantee originality, exclusivity, copyright protection, or freedom from third-party claims. Check that your intended use is appropriate and respects others' rights. The Privacy Policy explains which inputs are sent to Mistral or OpenAI and how local attachments are handled.

8. Acceptable Use and Moderation

Do not use Konvoo to submit unlawful, infringing, abusive, threatening, discriminatory, sexually exploitative, or otherwise harmful content; harass others; impersonate someone; expose identifying information; or send spam. Do not upload malicious files, attempt unauthorized access, disrupt the service, or circumvent security controls, access restrictions, or usage limits.

We may investigate reports, remove or restrict content, and suspend access where reasonably necessary to address a breach, protect people or the service, or comply with law. Publication does not mean we reviewed or endorsed the content. Gallery publication is immediate, and we do not promise to review every submission before it appears.

Use the available reporting controls or email hello@konvoospeech.com to report abuse, an ownership concern, or a moderation error. Identify the relevant content or link and explain the concern without including patient information. We will review the report and can reconsider a restriction where appropriate.

9. Third-Party Resources

Konvoo includes links or embeds from services such as YouTube and Instagram and uses third-party providers for authentication and AI features. External services have their own applicable terms and privacy practices. A link or reference does not imply endorsement or affiliation.

External content and availability can change. Preview resources before a session and follow applicable usage permissions. Konvoo does not control external sites; this does not exclude responsibilities that the law places on Konvoo for its own service.

10. Free Access

Konvoo currently offers its service without subscription charges. Some features require a verified adult account or are subject to usage limits.

If we introduce paid features, we will disclose the price, billing frequency, renewal, cancellation, and refund terms before you choose them. You will not be automatically enrolled in a paid plan or charged solely because you have an existing account. Any future purchase requires your separate agreement to the disclosed terms.

11. Availability and Ending Use

Maintenance, outages, provider changes, and development may affect features or availability. We do not promise uninterrupted operation or permanent availability of any particular activity. Where practicable, we will give reasonable notice of a significant service reduction or closure and an opportunity to export available saved data.

We may restrict or end access for a material or repeated breach of these Terms, a security risk, or a legal requirement. We will give an explanation and a reasonable opportunity to resolve the issue where appropriate. Immediate action may be necessary to prevent harm, protect security, or meet legal obligations, and notice may be limited where law requires it.

You may stop using Konvoo at any time. The account page provides permanent deletion, and you can request a copy of your account data by emailing privacy@konvoospeech.com. Download or request the resources and data you need before deleting an account. Deleting an account also affects resources you own and access you have shared; consult the Privacy Policy for the specific deletion and retention details. Clearing an account does not necessarily clear browser-only data on your devices.

12. Disclaimers and Liability

Review the service and its resources for your intended use. We do not guarantee that every resource will meet an individual need, that AI output will be correct, or that using Konvoo will produce a particular clinical or educational result.

To the extent permitted by applicable law, we are not responsible for losses that were not reasonably foreseeable, or for failures caused solely by circumstances outside our reasonable control. This does not excuse a failure to take steps that the law requires of us.

Nothing in these Terms excludes or limits liability for fraud, fraudulent misrepresentation, death or personal injury caused by negligence, or any other liability that cannot lawfully be excluded or limited. Your mandatory consumer rights, including applicable rights concerning reasonable care, service quality, and remedies, remain in effect. These Terms do not require you to indemnify Konvoo or waive rights that applicable law protects.

13. Changes to These Terms

We may update these Terms to reflect changes to features, legal requirements, or service operations. We will update the date on this page and give reasonable advance notice of material changes through the service or an available account contact method. Urgent legal or security changes may take effect sooner, with notice as soon as practicable.

Changes apply prospectively and do not take away rights that have already arisen. Where a change requires your agreement, we will request it. You may stop using the service and use available export and deletion options if you do not accept revised Terms.

14. Disputes and General Provisions

Please contact us to try to resolve a concern. Contacting us first is not a condition of exercising a legal right, and you may use courts, regulators, and other remedies available under applicable law. These Terms do not require arbitration, waive class-action rights, or select an exclusive court or governing jurisdiction. Mandatory protections that apply where you live remain available.

If a provision is unenforceable, the remaining provisions continue to apply to the extent the law permits. A delay in enforcing a provision does not waive the right to enforce it later. Provisions concerning ownership, authorized retained copies, accrued rights, and dispute resolution continue after use ends to the extent needed for their stated purposes.
